In this privacy policy (“Policy”), we explain to you what information we collect, how we use it and what rights you have in relation to it.
This Policy applies to all personal information collected through our services which includes our website, our related web and mobile apps, casting services, off-screen recruitment, consultancy, training, as well as any related services, sales, marketing or events (“Services”) and processed by us in our role as a data controller under the General Data Protection Regulation (“GDPR”). The Policy applies whether you are:
Talent – on-screen or off-screen talent looking for work or placed with a Client;
Client – a company looking to be matched with our Talent; or
User – a person browsing our website.

Our mission
Gritty Talent is a trailblazing company bridging TV, talent and technology, founded on the mission to connect the best creative talent from under-represented groups with decision-makers in the industry. We work with TV channels, production heads, casting teams and emerging talent to understand their needs and objectives, and connect the dots between the two.
We do this via our Services which are designed to discover, nurture and connect talented people from under-represented groups into the media industry.

How we collect your data
As previously detailed, personal information is collected through our Services including our website, our related apps, casting services, off-screen recruitment, consultancy, training, as well as any related services, sales, marketing or events. The ways we collect this personal information include:
● From Talent and Clients directly during the various stages of our relationship with you – this may be via our app, through email or letter correspondence, via messaging services, via phone calls and through documents that you send to us such as your CV;
● From third parties/agents on behalf of our Talent and Clients;
● Through publicly available sources e.g. other job sites, word of mouth, references, LinkedIn etc.;
● Through other sites that we, as a user of that site, are able to access information that you upload to that site.
Types of data we collect
Talent
As Talent, both on-screen and off-screen, we will collect personal information that you provide to us directly (or through our app where relevant). For all Talent this may include information provided in your CV, ID documentation, education and work history, references, financial records and social media profiles and will include, for example, such information as your contact details, areas of expertise, key knowledge areas and work availability.
We will also collect sensitive personal data including, where appropriate and applicable, details relating to gender, race and ethnicity, disability, sexual orientation, socio-economic group and other personal characteristics that you choose to share with us.
Clients
Prior to entering into an agreement with us, we will gather enquiry information to understand your business needs and to be able to contact you.
Once you have entered into an agreement with us, either to be matched with Talent or another purpose such as consultancy or training, we will collect such information as will be necessary to enable us to provide the services as detailed in any agreement between us.
Users
As soon as you arrive on our website we are collecting data to improve the user experience on our site. We use a Third Party website provider “SquareSpace” that manages Cookies on our website. Please refer to their Cookie Policy for further details and to see what you can opt-out of.
How we use your data
Talent
For both off-screen and on-screen talent, and whether personal information has been submitted via our app or by some other means, we may use your personal information (as applicable):
● For recruitment purposes, in particular, to assess your suitability for any of the positions you may apply for or we may match you with;
● To assess your skills;
● To confirm you as under-represented in the media;
● To ensure you are eligible to work in the UK and to assess any unspent convictions you may have;
● To enable you to take part in any training that we offer.
Clients
We use Client’s personal information:
● To enable registration and to create a company profile for your business;
● To provide you with details of our pricing plans;
● To enable subscription payments;
● To match you with Talent to fulfil the requirements of the agreement between us.
Users
We use your information to improve your experience of our Services, by profiling data, analysing traffic data from marketing data and performance data within our products.
Our basis for collecting your data
The GDP states that we must have a lawful basis for collecting data. The GDPR sets out the grounds where processing of data can be undertaken legally. Our lawful basis for processing is as follows:
Talent
Where we process your personal information in connection with providing the Services to you, this processing is necessary to perform the contract we have entered into with you.
Where we process your information to administer and manage our business relationship with you, for other business purposes and for marketing purposes, we consider this is necessary for our legitimate interests and that your interests and fundamental rights do not override those interests. Before we go ahead with any processing, we will carry out a ‘balancing test’ to ensure that our processing is necessary and that your fundamental privacy rights are not outweighed by our legitimate business interests.
We will rely on legal obligation if we are legally required to hold your personal information to comply with legal or regulatory requirements, such as disclosure to regulators and for purposes of disputes or legal proceedings affecting us.
Clients
Where we process your personal information in connection with providing the Services to you, this processing is necessary to perform the contract we have entered into with you.

Sharing your data
We will never sell your data to any third parties.
We may share your data with other companies in our group and supporting services. This includes:

● Our clients and suppliers;
● Professional service providers, such as marketing agencies, advertising partners and website hosts who help us to run our business;
● Credit reference agencies, law enforcement and fraud prevention agencies, so we can help tackle fraud.
Marketing
With your consent, or where we have a legal basis to do so, we may use your email address to send you details about new features, products, services and content.
Who we trust to process your data
We use a number of third parties from hosting to communication with customers. Where we have to share data in order to improve/ enhance the customer experience we only work with companies who have appropriate data protection policies and regulations in place (whether this be GDPR or other countries equivalents).

How secure is your data
We have physical, electronic, and managerial procedures to safeguard and secure the information we collect. For example, we use two factor authentication to provide an additional layer of security to our online accounts, our service providers are certified in their relevant areas, we back up all of our data and use password encryption to a high level standard.
But please remember - you provide personal data at your own risk: unfortunately, no data transmission is guaranteed to be 100% secure. You are responsible for your username and password.
Where we store your data
The personal data we collect is processed through our secure systems (as outlined above) and in any data processing facilities operated by third parties identified in ‘Who we trust to process your data’. Physical personal data (if any) is kept securely at our offices.
By submitting your personal data, you agree to this transfer, storing or processing by us. If we transfer or store your information outside the EEA in this way, we will take steps to ensure that your privacy rights continue to be protected as outlined in this Privacy Notice.
How long do we keep your data
All personal information that you provide is reviewed annually and deleted if we have no legal basis to retain your data or until you ask us to remove it - whichever is the sooner. With regards to our app, we have a soft delete and your personal information will be retrievable for 30 days in case you change your mind. If you don’t then we’ll delete your personal data and any profile or account that has been created for you.
Note – any system generated data is retained and cannot be linked back to Talent or a Client.
Your rights
UK data protection law gives you the following rights in relation to your personal information:
Right to access – If you ask us, we will confirm whether we are processing your personal information and, if so, provide you with a copy.
Right to rectify – You can ask us to rectify inaccuracies in your personal information. You may also ask us to complete personal information considered incomplete or to record a supplementary statement about the information.
Right to erasure – In some circumstances you can ask us to erase personal information that we hold about you, such as where you withdraw your consent or where we no longer need it.
Right to restrict processing – You have the right to ask us to ‘restrict’ (block or suppress) the processing of your personal information in certain circumstances, such as where you dispute the accuracy of the information. It won’t stop us from storing your data, but we will let you know before we lift any restriction.
Right to data portability – You have the right, in certain circumstances, to receive personal information you provide to us, in a ‘commonly used machine-readable format’.
Right to object – You can object to the processing of your personal information if we are either relying on our legitimate interest to process your personal information, or where your personal information is being used for the purposes of direct marketing.
